CLSU FMSO System — Data Privacy Policy

1. Acceptance of Terms

By registering and using the CLSU Financial Management Services Office (FMSO) System, you agree to be bound by these Terms and Conditions. If you do not agree with any part of these terms, you must not use this system.

2. Data Privacy Act Compliance

In compliance with Republic Act No. 10173, also known as the Data Privacy Act of 2012, and its Implementing Rules and Regulations, CLSU FMSO is committed to protecting and respecting your privacy.

Collection of Personal Information. We collect personal information including but not limited to your name, email address, and institutional affiliation solely for the purpose of processing your document requests and managing system access.

Purpose of Processing. Your personal data is collected and processed for the following purposes:

• Processing and tracking of document requests
• System authentication and access management
• Communication regarding your requests and system updates
• Compliance with institutional and legal requirements

Data Sharing. Your personal information will not be shared with third parties without your consent, except as required by law or by authorized CLSU offices in the performance of their official functions.

Your Rights. Under the Data Privacy Act, you have the right to be informed, access, object, erasure, rectification, and to file a complaint before the National Privacy Commission (NPC).

3. User Responsibilities

By registering, you agree to:

• Provide accurate and truthful information during registration
• Maintain the confidentiality of your account credentials
• Use the system solely for legitimate institutional purposes
• Not attempt to gain unauthorized access to any part of the system
• Notify the system administrator of any unauthorized use of your account

4. Data Retention

Personal data and document request records will be retained for a period consistent with CLSU's records management policies and applicable laws. Data will be securely disposed of when no longer necessary for the purpose it was collected.

5. Security

CLSU FMSO implements appropriate technical and organizational measures to protect your personal data against unauthorized access, alteration, disclosure, or destruction. However, no method of electronic transmission or storage is 100% secure.
